Notifications
Slotted keeps you informed about bookings, payments, and customer signals — and lets you customize exactly what your customers receive.
Your notification preferences
At Dashboard → Notifications, choose which channels are active for each event: Email, In-app, and SMS. Events are grouped by category:
- Booking Activity — new booking received, booking rescheduled or cancelled by the customer, new client portal message, upcoming-session reminders (24-hour and 1-hour), customer checked in, no-show flagged.
- Payments — payment received, refund issued, overstay charge pending confirmation / succeeded / failed, dispute or chargeback opened and resolved.
- Customer Signals — new customer booked for the first time, customer reached a booking milestone, customer lapsed.
- Documents — contract signed, document ready to sign, signed document copy.
- Weekly Digest — the weekly summary digest.
A few events are locked — like refunds and disputes — because you always need to see them. Everything else is yours to tune.
In-app notifications appear in the notification inbox on your dashboard home. Unread items stay there until you open or mark them as read.
Deferred booking needs staff is a persistent owner alert for bookings that were taken without a staff member and are unclaimed or close to losing their slot. See Booking readiness.
Email templates
At Settings → Email templates, customize the four customer-facing emails:
- Confirmation email — "Your booking is confirmed"
- 24-hour reminder email — sent about a day before the session
- 1-hour reminder email — sent about an hour before the session
- Receipt email — "Receipt from {businessName}"
Each template has a subject and body, with tags like {name}, {businessName}, {date}, and {time} that fill in automatically.
SMS templates
At Settings → SMS templates, customize the messages customers get by text:
- Booking confirmation
- 24-hour reminder — sent about one day before the session
- Same-day reminder — sent about one hour before the booking starts
- Cancellation
SMS templates are limited to 160 characters (one SMS segment). Required variables — {client_name}, {service_name}, {studio_name}, {time}, {contact_link} — are locked by validation: you can reword the copy around them, but you can't remove or rename them.
Which messages actually send
Templates send only when the matching event's channel toggle is on. For example, if you turn off email for "Booking confirmed", customers won't receive the confirmation email even though the template exists. SMS sending also requires workspace SMS to be enabled.
Transactional texts and consent
Before you can text a customer about a booking, they must opt in. At checkout, customers see a consent box agreeing to receive transactional texts about that booking — confirmations, reminders, cancellations, and booking replies. Consent is not a condition of purchase, and the text says so.
Every SMS your customers receive carries the Slotted sender name and a Reply STOP to opt out footer. If a customer replies STOP, texts to that number stop automatically — no action needed on your side.
If a customer hasn't opted in, Slotted skips their booking texts rather than sending them. Consent is stored per customer, so it carries across their bookings with you.
