Clients

The Clients screen is your customer book: who they are, what they've booked, what they've spent, and how to reach them.

The client list

The list shows each client's name, status, start date, last activity, number of bookings, and total spent. Segment clients with the status filters — All, Active, VIP, New, Archive, Returning, Blocked, and At risk — and sort by Last activity, Spent, or Bookings. Search by name to jump to one person.

Select clients and choose Export to download them as a CSV (clients-export-{date}.csv).

Client profiles

Open a client to see their full record:

  • Contact details — name, email, phone, company, and address, plus flags for VIP and Blocked.
  • Bookings — their history with the service, space, and intake answers for each booking.
  • Transactions — payments and refunds, with their Stripe customer record and saved card when card payments are used.
  • Documents — contracts and waivers they've signed, including anything needing a re-sign.
  • Notes — internal notes, each stamped with who wrote it.

Create a client directly from the list with their name, email, phone, and a photo.

Import clients

Bring over an existing list at Settings → Clients Upload. Slotted accepts CSV and spreadsheet files and previews the import before anything is saved.

Columns are matched automatically — fields like email, phone, name, company, address, marketing preferences, and total spent — with a confidence score per match so you can fix mismatches before importing. Rows are grouped into importable and skipped, and duplicate emails are matched to existing clients instead of creating doubles.

Give a customer their own booking link from the booking drawer with Send Link. The customer receives a URL like yoursubdomain.slotted.so/booking/{bookingId}?token=… that opens their Client portal:

  • A summary of their booking — resource, date and time, duration, status, and booked total.
  • A secure message thread with your team for questions, arrival details, or changes.
Portal links expire

A link is valid for 7 days after the booking start. After that, send a fresh one from the booking drawer.

Changes like cancelling or rescheduling aren't self-service in the portal — the customer messages you, and you make the change from the booking drawer with the full context in one place.

Intake forms

Collect what you need to know at booking time with intake questions. Set them up at Settings → Intake forms; each service can carry its own questions. Supported question types are short text, long text, single select, and number, each with a required flag.

Answers are captured at checkout and stored on the booking — you'll see them in the booking drawer under Intake answers and in the client's profile. Questions can be required for booking, so customers can't book without answering.
