Managing bookings

Everything about a single booking lives in the Bookings screen and the booking details drawer: who is coming, what they booked, how much is paid, and where the booking is in its lifecycle.

Booking statuses

Every booking has a status you can see at a glance:

PendingThe booking exists but isn't confirmed yet.
ConfirmedThe booking is locked in.
Checked InThe customer has arrived.
CompletedThe session is done.
CancelledThe booking was cancelled (by you or the customer).
No ShowThe customer never arrived.

A second field, Booking state, tracks the booking's operational lifecycle — Draft, Pending payment, Confirmed, Staffing needed, Operationally ready, In progress, or Expired. You'll mostly see Staffing needed when a service requires staff and nobody is assigned yet — see Booking readiness.

The bookings list

The list shows ID, client, space, date, status, staff, and amount, with filters for date range, space, status, and client name. At the top you'll find live counters: active bookings (pending + confirmed + checked in), finished bookings, and collected revenue this period.

Row actions

  • Edit booking — open the drawer to change details.
  • Internal notes — notes only your team can see.
  • Resend waiver — send the signing link again (available when the current waiver isn't signed).
  • Cancel booking — see below.

Check in, complete, no-show

Open a booking and use the drawer buttons:

  • Check in — mark the customer as arrived. This updates the booking to Checked In and can trigger notifications.
  • Ready — the booking is operationally ready to run.
  • No-show — mark the customer as absent. The booking is closed as No Show and you're notified.

Cancelling a booking

From Cancel booking, pick the reason and confirm. Slotted:

  1. Sets the booking to Cancelled with the reason you chose.
  2. Removes the booking from any synced Google Calendars.
  3. Refunds the customer automatically if the deposit is refundable and the cancellation falls inside the refund window (by default, 24 hours before the appointment). You'll see a confirmation when the refund is sent.

Cancelling inside the window keeps the deposit, as configured in the service's deposit settings.

Charging for overstays and extra people

When a session runs over or extra people show up, open the booking and choose Extra Charge. Pick the reason — Overstay or Extra people — and Flag for confirmation.

Flagging stages the charge without touching the card. When you're ready, Confirm & charge runs the charge on the customer's saved card. Nothing is ever charged automatically, and the charge can be dismissed while it's still unconfirmed.

The drawer's payment summary tracks Amount paid, Overages, Refunded, and Total.

Cash and manual payments

For customers paying outside cards, the drawer offers Record cash & complete to close out the booking with a cash payment, and Mark as paid for other manual methods. Direct payment methods let customers pick cash, Zelle, Venmo, Cash App, or PayPal at checkout.

Deferred staff bookings

Some services assign staff after booking. Those bookings arrive with a Staffing needed state and no assigned staff. The drawer shows Assigned staff and Slot held until — assign a staff member before the slot-hold deadline so the booking doesn't lose its place. See Staff and Booking readiness.
